The Challenge
Three Disconnected Systems Creating Daily Friction for Healthcare Staff
HealthHub operated with three separate digital systems that didn't communicate with each other: a standalone HR portal for staff records and leave, a patient scheduling tool used by clinical staff, and a SharePoint classic intranet that held compliance documents and announcements. Staff switched between all three systems daily, wasting time logging in and out, and frequently missed information because it lived in the "other" system.
Compliance was a particular concern. In healthcare, staff must operate with current policy documents — but the classic intranet had no version control. Documents were emailed to staff when updated, meaning staff with old bookmarks were unknowingly working from outdated policies. There was no systematic way to ensure staff had seen and acknowledged a compliance update.
Shift management was also inefficient — shift notifications went out via email from a spreadsheet, with no automation, and HR fielded a high volume of queries from staff checking shift times, leave balances, and policy information that should have been self-service.

The Consolidation
The Solution
A Unified Modern Intranet with Graph-Powered Integrations
Akshara Technologies built a modern SharePoint Online intranet that acts as the single digital workplace for all HealthHub staff. Microsoft Graph integrations surface HR data (leave balances, staff profiles, org chart) and patient scheduling data (shift assignments, department rosters) directly within the intranet — no separate logins required.
The compliance document library was rebuilt with full version control and a Power Automate notification flow: when a compliance document is updated and published, all staff who have the document bookmarked, plus all staff in the relevant department, receive a Teams and email notification with a direct link and an acknowledgement button. Acknowledgements are tracked in SharePoint for audit purposes.
Shift management was automated end-to-end: shift scheduling data from the patient scheduling integration is surfaced via a custom SPFx web part on each staff member's personal dashboard, with Power Automate flows delivering shift notifications via Teams and email 48 hours before each shift. HR admin time dropped significantly as staff could now self-serve shift, leave, and policy information from one portal.
