The Challenge
New Hires Lost in a Maze of Emails, Spreadsheets, and Shared Drives
Every new hire at Akshara Technologies went through the same fragmented first week: a welcome email with 12 attachments, a spreadsheet of tasks from HR, a separate document from IT, and a Slack thread full of links that went nowhere. There was no single place that told the new hire what to do next, who to talk to, or how they were progressing.
Learning happened informally. Training resources were scattered across SharePoint libraries, Teams channels, and external platforms with no visibility into completion or relevance to the person's actual role. Managers had no way to track whether a new hire had completed critical compliance tasks before they were given system access.
The result was inconsistent onboarding quality, delayed productivity, and new hires who reached their 30-day mark still unsure about basic processes. The team needed a structured, personalised digital home for every new joiner from day one.

The Solution
A Personalised SharePoint Portal That Knows Where You Are in Your Journey
Akshara Technologies built a role-aware onboarding portal on SharePoint Online using SPFx and Microsoft Graph API. The portal greets each new hire by name, surfaces their current onboarding phase (Before Day 1, Week One, First 30 Days, Days 30–60, Days 60–90), and shows a live progress ring that updates as tasks are completed.
Each task in the checklist is tagged to the responsible team (People & Culture, IT, Payroll) with estimated time, required status, and completion tracking pulled from SharePoint lists. Power Automate flows trigger notifications when critical tasks are overdue, and managers receive a weekly digest showing each new hire's completion percentage.
The portal integrates Viva Learning to surface role-specific learning paths — four to six modules per path, each with progress tracking. An onboarding buddy is assigned and surfaced with chat, email, and calendar booking links pulled live from Microsoft Graph. Essential documents are categorised by Policy, IT, Benefits, and Culture with a filter interface built in SPFx.
